Excel Import for Employee Details

Avoid Excel import errors

  • Use only an import file that was originally downloaded from the Import Excel File screen (step 4 below).
  • Do not alter the structure of the spreadsheet at all when completing it – i.e. do not edit / add / remove / rearrange any rows or columns.
  • The file must be saved in Excel (.xls or .xlsx) format.

If you have a large number of employees to add to the system, you may wish to do this in bulk. It can be done using our Excel import function, as follows:

  1. In the left sidebar, click on Employees.
  2. Go to Bulk Actions.
  3. Under Excel Import, click Bulk Add Employees.
  4. Download the template by clicking the here hyperlink.
  5. Complete the spreadsheet (see more information below).
  6. Upload the completed spreadsheet by clicking Choose file, and selecting the file from your computer.
  7. Click Upload.
  8. Check and, if necessary, edit the information on the Bulk Input screen.

    Using Add Row

    If there are more employees to be added, you can do so on this screen by clicking Add Row, and entering their information.

  9. When the changes are complete, click Save.

The spreadsheet template downloaded in step 4 above can be used to add your first employees, update existing employees, or add additional employees at a later stage:

  • Adding employees initially: If you have no employees on the system, the template you download will be blank, except for the necessary headings and information required by the system. Simply complete the relevant columns, and save the file.
  • Updating existing employees: If you have already added employees, the template will contain all of their information. You can simply edit the necessary aspects for each employee, and save the file.

    Changing employee numbers

    You cannot change employee numbers via this method. Please do this via Employees > Bulk Actions > Essentials.

  • Adding additional employees: If you have already added employees and wish to add more, you can simply add their information in the rows below the existing employees’ information.

    Unique employee numbers

    Ensure that no two employees have the same employee number as this will cause the system to overwrite employee data during import.
